ABOUT PEOPLE IN NEED:

PIN has been working in Northern Syria since 2012, providing emergency relief and early recovery support to conflict-affected communities. Programmers for conflict-affected communities in Syria focus mainly on Emergency Food Assistance, WASH, and Education, in addition to Early Recovery and Livelihoods activities. PIN’s contribution to the Syria humanitarian response is amongst the largest, with an annual turnover of over $30 million, engaging over 350 full- time staff members across Northern Syria and cross-border response hubs in neighboring countries.


GENERAL POST DISCRIPTION:

Livelihoods Data – assistant is responsible of data administration and preparation (Entering, analysis and consolidation) all of the documentation needed by Livelihoods teams to facilitate the implementation of projects and reduction of the burden regarding to the papers preparing …etc


GENERAL POSTION DESCRIPTION:

Livelihoods Data – assistant provides an administrative support to Livelihoods teams by assisting them by data entry and management. The main responsibilities of the position are entering and retrieving of data from a database relating to administrative tasks and functions, and data processing operation relating to specific or multiple projects.


COMMUNICATION CHANNALES:


The employee’s line manager is Area Program Team Leader, also he/she responsible for reporting to information unit in Gaziatep and Area Manager. Livelihoods data – assistant have to cooperates with other departments and or/colleagues in program teams, Where & when needed, the staff may be asked to support in data preparing and analysing and coordination between other departments to facilitate smooth implementation on the ground.  


PRINCIPAL JOB DUTIES (RESPONSIBILITIES AND TASKS):

- Entering & Managing information flows from the field sites. 

- Providing the needed basic statistics to the Livelihoods teams according to the database/tracker. 

- Preparation of the necessary documents prior to Livelihoods activities. 

- Following the completion of the activity, scanning and uploading the files into SharePoint. 

- Populate excel sheets with the information from paper docs in order to have automatized data. 

- Ensure that all templates/databases are updated, strengthened and repaired constantly. 

- Perform regular backups to ensure data preservation. 

- Follow the archiving system established by PIN for online and physical docs. 

- Maintain and update plans and actuals of the 3Ws. 

- Checking photos and video for distribution and uploading it to SharePoint. 

- Ensure proper use of office equipment and address any malfunctions. 

- Preparing the logistic contracts required from the Livelihoods. 

- Preparing the batches of documents that will be sent from Syria to Turkey on monthly bases. 

- Following up on documentation after the end of the activity, including the preparation of cover sheet, the excel file, the scans and the photos. 

- Regularly support the M&E team upon the request of the team leader. 

- Organize and process data relating to vendor payments. 

- Enter and process data relating to invoices and payments of vendors. 

- Any ad-hoc tasks assigned by the line manager.


I. Other

- Other tasks assigned by employee’s Line Manager corresponding to actual needs of the mission, Livelihoods, and projects. 

- Substitute relevant colleagues (fully or partially) during their absence when assigned by employee’s Line Manager. 

- Understand and adhere to the mission’s National Staff Handbook, PIN Code of Conduct, PIN Key Policies and relevant guidelines.


PRINCIPAL COMPETINCES REQUIRED:

I. Technical competencies:

- Bc. Or Master degree in computing, data science, Monitoring & Evaluation, data management/data administration or other relevant certification (Bachelor's degree). Three years of professional experience (desirable). 

- Two years at least with NGO experience. 

- Wide & advanced experience in office programs (Excel, word, PowerPoint, outlook, etc), and data analyses programs (at least one program) and data collection programs such as Kobo. 

- Expert level in English languages (desirable).
